How to total your working hours

How to calculate a rota total you can check

Enter one row for every worked shift, even when several days use the same hours. A separate row preserves the start, finish and unpaid break behind the total. Overnight rows are carried into the following day automatically, so 22:00–06:00 is eight hours rather than a negative result.

1. Calculate each shift

Convert the start and finish to minutes after midnight. If the finish is earlier than the start, add 1,440 minutes to the finish. Subtract the start and then subtract the unpaid break.

2. Add exact minutes

Add the net minutes from every row before converting the result back to hours. This avoids rounding each shift separately and accumulating a larger weekly error.

3. Apply policy afterwards

Overtime thresholds, paid meal breaks, on-call allowances and payroll rounding are employment rules rather than time arithmetic. Apply them only after confirming the exact worked duration.

Checks that prevent incorrect totals

  • Confirm whether a break is paid before deducting it.
  • Use the actual finish date when a shift lasts more than 24 hours; this tool treats an earlier finish as the next day.
  • Do not round start and finish times unless the official policy requires it.
  • Keep premium pay and overtime calculations separate from the basic hours total.

For payroll, compare the exported rows with the employer's source record. The calculator is a transparent checking tool, not a replacement for contractual rules.
